Legal Assistant
Job Summary
Reporting to the Senior Vice-President, Legal Affairs, the Legal Assistant will manage the Legal Department’s administrative files. They will also be responsible for drafting legal documents, preparing procedures and monitoring deadlines, while ensuring efficient organization.
Key Accountabilities
- Ensure the daily management of administrative files for the legal department.
- Draft, review, and format various documents such as letters, presentations, and other materials.
- Conduct basic research to support lawyers in preparing cases.
- Ensure the regular updating of electronic case files.
- Assist the Senior Vice President, Legal Affairs, in her daily tasks.
- Schedule and organize appointments and meetings, as well as manage the lawyer's emails and calendar.
- Follow up with internal and external stakeholders and collect signatures.
- Coordinate the invoice payment process.
- Support paralegals in the process of renewing existing permits and licenses.
- Perform document management tasks.
Other responsibilities
- Any other clerical duties to support the legal team.
Job Requirements
- Legal assistant or administrative assistant diploma (DEP, AEC).
- At least one (1) year of experience in a similar position.
- Ability to communicate effectively, professionally and courteously both written and oral.
- Ability to follow up on files with minimal supervision.
- Detail oriented.
- Ability to manage time and files effectively to meet tight deadlines.
- Ability to work effectively in a fast-paced environment.
- Very good knowledge of the Microsoft Office suite (Word, Excel, PowerPoint).
- Good knowledge of OpenText.
